How do I configure my mail client to connect to ISyE's IMAP server?




Solution:

Introduction


This document provides step-by-step instructions to configure your email client for use with the ISyE IMAP email system. In order to use mail, you must first have an ISyE computer account. If you do not yet have an account, please visit http://www.isye.gatech.edu/apps/unix-account/ to apply for one.


The following clients are addressed herein:

In addition, if you are using a client other than the ones listed above, general connection information may be found at in the final section. Please note that the preferred client on all platforms is Thunderbird 2.0, and that the IT department suggests that you try using it first.

Thunderbird 1.5/2.0 " new installation


  1. From the "New Account Setup" window, select "Email account" and click "Next".

  2. Enter your full name and preferred email address (for example, allen.belletti@isye.gatech.edu), click "Next".

  3. Select server type "IMAP", enter "imap.isye.gatech.edu" as Incoming Server.

  4. Enter "mail.isye.gatech.edu" as the Outgoing Server, click "Next".

  5. Enter your ISyE account name (for example, "allen") as the Incoming User Name.

  6. Enter the same account name as the Outgoing User Name, click "Next".

  7. Choose a name for this account such as "ISyE Mail" and click "Next".

  8. If everything is correct, click "Finish".

  9. When prompted, enter your ISyE account password and click "OK".

  10. Select Tools->Account Settings from the menu (note that on Linux, this will be Edit->Account Settings.)

  11. Click on "Outgoing Server (SMTP)" at the bottom of the leftmost portion of the window.

  12. Click the "Edit" button in the upper right, beneath "Outgoing Server (SMTP) Settings".

  13. Click the button next to "TLS" (not "TLS, if available".)

  14. Note: If you are at home and are unable to send mail, please try changing the Port number from "25" to "587" as some Internet Service Providers require this.

  15. Click "OK".

  16. Click "OK" again to exit the Account Settings page.



Thunderbird 1.5/2.0 " existing installation


  1. Select Tools->Account Settings from the menu (note that on Linux, this will be Edit->Account Settings.)

  2. Click the "Add Account" button in the bottom left.

  3. Select "Email account" and click "Next".

  4. Enter your full name and preferred email address (for example, allen.belletti@isye.gatech.edu), click "Next".

  5. Select server type "IMAP", enter "imap.isye.gatech.edu" as Incoming Server, click "Next".

  6. Enter your ISyE account name (for example, "allen") as the Incoming User Name, click "Next".

  7. Choose a name for this account such as "ISyE Mail" and click "Next".

  8. If everything is correct, click "Finish". The account name will appear in the left side of the window above items such as "Server Settings" and "Copies & Folders".

  9. Click on "Outgoing Server (SMTP)" at the bottom of the leftmost portion of the window.

  10. Click the "Add" button in the upper right, beneath "Outgoing Server (SMTP) Settings"

  11. Enter "mail.isye.gatech.edu" for the Server Name.

  12. Make sure that "Use name and password" is checked, and enter your account name next to "User Name".

  13. Click the button next to "TLS" (not "TLS, if available".)

  14. Note: If you are at home and are unable to send mail, please try changing the Port number from "25" to "587" as some Internet Service Providers require this.

  15. Click "OK".

  16. Click the name of your new account that appeared in the left-hand portion of the window (for example "ISyE Mail").

  17. Near the bottom of the right-hand side you will see "Outgoing Server (SMTP)". Make sure that the "mail.isye.gatech.edu" entry that you created above has been selected.

  18. Click on "Server Settings" located beneath the name of your new account, in the left-hand portion of the window.

  19. Under "Security Settings" on the right side, select "TLS"

  20. If desired, check the "Check for new messages at startup" button and also enter how often you wish to check for new messages (the default is every 10 minutes.)

  21. Click "OK" and the "Account Settings" window will disappear. You are now ready to read and send email with Thunderbird. Note that you may need to click on "Inbox" to get started.



Evolution 2.0 " new installation


  1. Start Evolution and click the "Forward" button.

  2. Enter your Full Name (ie, Allen Belletti) and your preferred Email Address (such as "allen.belletti@isye.gatech.edu").

  3. Leave "Make this my default account" checked and click "Forward".

  4. Set the Server Type to "IMAP".

  5. Enter "imap.isye.gatech.edu" for the Host.

  6. Enter your ISyE account name (such as "allen") as the Username.

  7. For Use Secure Connection (SSL), select "Always".

  8. Leave Authentication Type set to "Password" and click "Forward".

  9. If desired, check "Automatically check for new mail" and set an interval.

  10. If you have a large number of folders, please uncheck "Check for new messages in all folders".

  11. Click "Forward" to continue.

  12. Confirm that the Server Type is "SMTP" and enter "mail.isye.gatech.edu" for the Host.

  13. Check "Server requires authentication" and set Use Secure Connection (SSL) to "Whenever Possible".

  14. Ensure that the Authentication Type is "PLAIN" and enter your ISyE account name as the Username. Click "Forward".

  15. Choose a name for your account such as "ISyE Mail" and click "Forward".

  16. Select the proper time zone and click "Forward".

  17. Click "Apply"



Evolution 2.0 " existing installation


  1. Select Tools->Settings from the menu.

  2. Press the "Add" button in the upper-right of the window.

  3. Click "Forward" to continue.

  4. Enter your Full Name (ie, Allen Belletti) and your preferred Email Address (such as "allen.belletti@isye.gatech.edu").

  5. Check "Make this my default account" and click "Forward".

  6. Set the Server Type to "IMAP".

  7. Enter "imap.isye.gatech.edu" for the Host.

  8. Enter your ISyE account name (such as "allen") as the Username.

  9. For Use Secure Connection (SSL), select "Always".

  10. Leave Authentication Type set to "Password" and click "Forward".

  11. If desired, check "Automatically check for new mail" and set an interval.

  12. If you have a large number of folders, please uncheck "Check for new messages in all folders".

  13. Click "Forward" to continue.

  14. Confirm that the Server Type is "SMTP" and enter "mail.isye.gatech.edu" for the Host.

  17. Choose a name for your account such as "ISyE Mail" and click "Forward".

Outlook 2003 " new installation


From the beginning of the Outlook 2003 Startup wizard:


  1. Click "Next".

  2. If asked about upgrading, choose "Do not upgrade" and click "Next".

  3. When asked about configuring an email account, select "Yes" and click "Next".

  4. Choose "IMAP" and click "Next".

  5. Enter your full name as "Your Name".

  6. Enter your preferred Email Address (such as "allen.belletti@isye.gatech.edu".

  7. Set the Incoming mail server (IMAP) to "imap.isye.gatech.edu".

  8. Set the Outgoing mail server (SMTP) to "mail.isye.gatech.edu"

  9. Enter your ISyE account name for the User Name (for example, "allen".)

  10. Enter your ISyE account password.

  11. It is recommended that you uncheck "Remember password".

  12. Make sure that "Log on using Secure Password Authentication (SPA)" is not checked.

  13. Click the "More Settings" button.

  14. Click the "Outgoing Server" tab.

  15. Check "My outgoing server (SMTP) requires authentication."

  16. Ensure that "Use same settings as my incoming mail server" is selected.

  17. Click the "Advanced" tab.

  18. Beneath "Incoming server (IMAP)", check the box for "This server requires an encrypted connection (SSL)". Do not check the second box beneath "Outgoing server (SMTP)".

  19. Click "OK".

  20. Click "Next".

  21. Click "Finish".



Outlook 2003 " existing installation


  1. Select Tools->Email Accounts from the menu.

  2. Select "Add a new e-mail account" and click "Next".

  3. Choose "IMAP" and click "Next".

  4. Enter your full name as "Your Name".

  5. Enter your preferred Email Address (such as "allen.belletti@isye.gatech.edu".

  6. Set the Incoming mail server (IMAP) to "imap.isye.gatech.edu".

  7. Set the Outgoing mail server (SMTP) to "mail.isye.gatech.edu"

  8. Enter your ISyE account name for the User Name (for example, "allen".)

  9. Enter your ISyE account password.

  10. It is recommended that you uncheck "Remember password".

  11. Make sure that "Log on using Secure Password Authentication (SPA)" is not checked.

  12. Click the "More Settings" button.

  13. Click the "Outgoing Server" tab.

  14. Check "My outgoing server (SMTP) requires authentication."

  15. Ensure that "Use same settings as my incoming mail server" is selected.

  16. Click the "Advanced" tab.

  17. Beneath "Incoming server (IMAP)", check the box for "This server requires an encrypted connection (SSL)". Do not check the second box beneath "Outgoing server (SMTP)".

  18. Click "OK".

  19. Click "Next".

  20. Click "Finish".



Outlook 2000 " new installation


From the beginning of the Outlook 2000 Startup wizard


  1. Click "Next"

  2. If prompted to use settings from another version of Outlook, select "No" and click "Next".

  3. If prompted to upgrade, select "None of the above" and click "Next".

  4. Select "Internet Only" and click "Next".

  1. If you are warned about not being able to use Exchange Server, click "Yes".

  2. Enter your full name and click "Next".

  3. Enter your preferred email address such as "allen.belletti@isye.gatech.edu" and click "Next".

  4. For "My incoming mail server", select "IMAP".

  5. Enter "imap.isye.gatech.edu" for "Incoming mail (POP3 or IMAP) server".

  6. Enter "mail.isye.gatech.edu" for your "Outgoing mail (SMTP) server".

  7. Click "Next" to continue.

  8. Enter your ISyE account name for the "Account name" field.

  9. Enter your ISyE account password.

  10. It is recommended that you uncheck "Remember password".

  11. Make sure that "Log on using Secure Password Authentication (SPA)" is not checked.

  12. Click "Next" to continue.

  13. Select "Connect using my local area network (LAN)" and click "Next".

  14. Click "Finish".

  15. Once Outlook is started, select Tools->Accounts from the menu.

  16. Make sure that your new email account is selected and click "Properties".

  17. Click the "Servers" tab.

  18. Check the box next to "My server requires authentication".

  19. Click the "Advanced" tab.

  20. Check the box next to "This server requires a secure connection (SSL)" that is located beneath "Incoming mail (IMAP)". Do not check the one beneath "Outgoing mail (SMTP)".

  21. Click the "IMAP" tab.

  22. Enter "INBOX." (note the period) as the "Root folder path".

  23. If you have a large number of folders, please un-check "Check for new messages in all folders" as this can cause a large load on the mail servers.

  1. Click "Apply".

  2. Select your ISyE inbox from the Folder list by clicking on it.

  3. Select Tools->IMAP Folders from the menu.

  4. Click the "Query" button which should retrieve a list of your folders.

  5. Un-check the box next to "When displaying hierarchy in Outlook, show only subscribed folders."

  6. From the View->Current View menu, check "Hide Messages Marked for Deletion."

  7. Quit and restart Outlook.



Outlook 2000 " existing installation


  1. Select Tools->Accounts from the menu.

  2. Click "Add" and select "Mail".

  3. Enter your full name and click "Next".

  4. Enter your preferred email address such as "allen.belletti@isye.gatech.edu" and click "Next".

  5. For "My incoming mail server", select "IMAP".

  6. Enter "imap.isye.gatech.edu" for "Incoming mail (POP3 or IMAP) server".

  7. Enter "mail.isye.gatech.edu" for your "Outgoing mail (SMTP) server".

  8. Click "Next" to continue.

  9. Enter your ISyE account name for the "Account name" field.

  10. Enter your ISyE account password.

Mac OS X Mail " existing installation


  1. From the "Mail" menu , select "Preferences" and click the "Accounts" button in at the top of the Preferences window.

  2. Click the "plus" icon at the bottom of the accounts window to add a new account.

  3. In the "Add Account" window, enter your full name and preferred email address (for example, allen.belletti@isye.gatech.edu), along with the password for your ISyE email account click "Continue".

  4. Select account type "IMAP", enter "imap.isye.gatech.edu" as Incoming Mail Server, and choose a name for this account, such as "ISyE IMAP" to enter into the "Description" field.

  5. Enter your ISyE account name (for example, "allen") as the User Name. Click "Continue".

  6. Click "Use Secure Sockets Layer (SSL)" in the "Incoming Mail Security" window. Select "Password" in the Authentication drop-down menu. Click "Continue".

  7. Choose a name for this outgoing server such as "ISyE Mail" and enter it in the "Description" field. Click "Next".

  8. Enter "mail.isye.gatech.edu" as the Outgoing Mail Server.

  9. Click "Use Authentication" and enter the same account name and password, click "Continue".

  10. If everything is correct, click "Take account online" and then click "Create".

  11. When prompted, enter your ISyE account password and click "OK".

  12. Note: If you are at home and are unable to send mail, please try changing the Port number from "25" to "587" as some Internet Service Providers require this.

  13. To do this, go back to the Account Preferences window.

  14. Click on your ISyE account and then select "Edit server list..." in the "Outgoing Mail Server (SMTP):" menu.

  15. In the next window, click once on mail.isye.gatech.edu and click the "Advanced" button.

  16. Change the "Server port:" field to 587 and click "OK".

  17. Close the Preferences dialog.



Pine


For Pine users, we have found that setting the following options in .pinerc works well. This will cause Pine to access mail via IMAP from the new server cluster. Please note that this will work best from Castle. Feel free to contact us with any questions about using Pine on other hosts.

Mutt


The following options should be set to enable Mutt to access mail via IMAP. Please note that you must be using a version of Mutt which has been compiled using the proper options. The version on Castle is one such. Feel free to contact us with any questions about using Mutt on other hosts.

Eudora


We do not currently recommend Eudora for use with the ISyE mail system. It is known to have difficulties with IMAP and further, is no longer supported by OIT. Consider using Thunderbird instead as it works well, is free, and is our departmental standard. Please feel free to contact us via helpdesk@isye.gatech.edu with any questions or concerns.



Importing the Georgia Tech root certificate on Windows


When using Microsoft Outlook 2003 you may receive a message that reads "The server you are connected to is using a security certificate that could not be verified. A certificate chain processed, but terminated in a root certificate which is not trusted by the trust provider. Do you want to continue using this server?" Follow these steps to install the correct certificate:


  1. Browse to "http://ca.gatech.edu/root-formats.php".

  2. At the very bottom of the page, right click where it says "Right click and download".

  3. Select "Save Target As" or "Save Link As" and choose a location for the file. It should be named "gt-cert-chain.p7b".

  4. If not already open, start Microsoft Internet Explorer.

  5. Select Tools->Internet Options.

  6. Click the "Content" tab.

  7. Click the "Certificates" button.

  8. Click the "Import" button.

  9. Click "Next".

  10. Enter the filename that you saved in step 3 or click "Browse" and locate that file. If using "Browse" you will need to select "PKCS #7 Certificates" next to "Files of type:" at the bottom of the dialog.

  11. Click "Next".

  12. Choose "Automatically select the certificate store based on the type of certificate" and click "Next".

  13. Click "Finish".

  14. You may be prompted about installing a certificate representing "Education and Research Client CA". If so, click "Yes".

  15. Click "OK" in response to "The import was successful."


You may now close any open windows and quit Internet Explorer if you desire. Microsoft Outlook 2003 should no longer prompt you about an invalid certificate.



General Connection Information


If you are using a mail client which is not addressed in detail by this document, the following information should allow you to get connected:


Receiving mail: Server "imap.isye.gatech.edu", protocol IMAP, port 143 with TLS security. You may also use SSL on port 993 if necessary. Do not use "secure authentication" as this is not supported.


Sending mail: Server "mail.isye.gatech.edu", port 25. Authenticated login is preferred but not required. Mail may not be sent by unauthenticated users except when located in an ISyE building and connected directly to the network. Secure connection using TLS is preferred. Note: some Internet Service Providers will block this connection. If you find that you are unable to send mail, try using port 587 instead. This is an alternate which will often solve the problem.
